Trade show booth: rent or build?
Rented modular systems, custom builds and the organizer's shell scheme all have cases where they are the right answer. This guide ties the decision to frequency of use and to your goal, not to a budget template.

Three questions that decide it
(1) How many fairs a year? For a single fair, rent modular or take the shell scheme; from three fairs a year a reusable custom system can come out cheaper in total. (2) What is the goal? If it is meeting existing customers, a clean simple stand is enough; if you are opening a market or positioning a brand, the stand is your most expensive advertising surface. (3) How many square metres did you book? On a small plot, custom design has limited room to make a difference — spending the budget on graphics quality, lighting and a good meeting layout usually works harder.
Process and timing
For a custom build, brief the builder at least 6–8 weeks before the fair; builders' calendars fill early in the busy season. Rented modular is faster, but graphics and extra services (power, internet, rigging) still follow the organizer's deadlines — missing them means buying the same service at the on-site surcharge. If you use public funding, stand costs usually count toward the supported base; make sure invoices are issued to the exhibiting company.
An honest limit: we print no indicative prices here, because they change by multiples between fairs. The reliable way is one identical brief sent to two or three builders for line-item quotes.
Frequently asked
- What is the difference between a modular and a custom-built stand?
- A modular stand is assembled from standard rented panels and profiles and returned after the fair — fast and predictable. A custom stand is designed and built for your brand: stronger impact and control of the space, longer lead time and higher cost. On small plots (roughly 12–20 m²) modular covers most goals.
- What drives the cost of renting a stand?
- Area, design complexity, materials, the furniture and equipment list, printed graphics area, city and build-up time. Because the price is a mix of these, the only reliable method is sending the same brief to two or three suppliers for itemised quotes.
- Is the organizer's package stand a sensible choice?
- For a first participation or a one-off test, yes — the shell scheme is the cheapest, lowest-risk entry. At fairs where competitors arrive with strong custom stands it can make you invisible; consider custom design there.
