How to exhibit at a trade fair: a first-timer's roadmap

Visiting a fair and exhibiting at one are different processes. This guide separates the two and walks through the exhibitor side step by step — costs, timeline and the mistakes that are cheapest to avoid early.

For most trade fairs the visitor path is two steps: pre-register on the fair's official site and read the entry rules there — whether admission is free for professionals, ticketed for the public, or restricted to the trade. If you are exhibiting: six steps

(1) Choose the fair where your buyers actually go — past exhibitor lists tell you more than the brochure. (2) Ask for the exhibitor pack: the price per square metre, the hall plan and every deadline are in it. (3) Check public funding before you sign: many countries subsidise fair participation through their export-promotion agencies — terms usually require applying before, not after, the contract. (4) Decide on the stand — rented modular or custom build; we weigh that choice in a separate guide. (5) Book logistics early: freight, hotels and staff cost visibly more in the fair week. (6) Follow up within a week — most of the return on a fair is won or lost in this step.

An honest limit: participation prices vary by fair and hall by multiples, so any single number we printed here would mislead you. The reliable path is the exhibitor pack plus a line-item quote.

Planning the next edition

Recurring fairs publish their next dates at different speeds. Our approach: if a fair ran in 2024, 2025 and 2026 we mark its next edition as expected, and when the date is confirmed at the source we notify everyone who left a pre-request on the fair's page. Booking early buys you the better location and the early-bird rate.
